How to Use the Calendar in Bit CRM

Estimated reading: 5 minutes 9 views Reviewed By Onie

This guide shows you how to use the Calendar in Bit CRM to see your tasks, meetings, and calls laid out by day, week, or month, and how to create and open activities from it.

What does the calendar show?

The Calendar is a personal view of your CRM activities. Every task, meeting, and call assigned to you appears on the date and time of its Due Date. Activities assigned to other users do not appear, and there is no team view.

Each activity type has its own color: tasks are purple, meetings are teal, and calls are amber. Completed activities turn grey with a strikethrough so you can tell at a glance what is still open.

Note: Only activities appear on the calendar. Deal close dates, invoice due dates, and other record dates are not shown, and the calendar does not sync with Google Calendar, Outlook, or iCal feeds.

Before you start

The Calendar is a Bit CRM Pro feature. In the free plugin, the Calendar menu item still appears, but it opens a preview with an Unlock with Pro prompt instead of your activities.

Your CRM user needs permission to view activities to open the Calendar and permission to create activities to use the New Activity button. Administrators have both by default; for other users, check Settings → CRM Users.

Dates and times follow your WordPress settings. The week starts on the day set under WordPress Settings → General → Week Starts On, and times display in your site’s timezone and time format.

Steps

Step 1: Open the Calendar

Go to More → Calendar in the Bit CRM header. The page opens in Month view on the current month, with a small navigation calendar on the left and the main grid on the right.

Step 2: Switch between Month, Week, and Day views

Use the Month, Week, and Day buttons above the grid to change how much time you see at once:

  • Month—one cell per day, showing up to three activities. When a day has more, a +N more link appears; click it, or the day number, to jump to that day in Day view.
  • Week—seven columns with an hourly grid. Each column header shows the day and how many activities it holds. Working hours between 9 AM and 5 PM are highlighted, and the grid opens scrolled to 7 AM.
  • Day—a single day with the same hourly grid, and room to see every activity in each hour.

Use the arrow buttons to move to the previous or next month, week, or day, and click Today to return to the current date. You can also click any date in the mini calendar on the left to jump straight to it.

Note: The view and date are stored in the page URL, so you can bookmark or share a link to a specific week or day.

Step 3: Search and filter your activities

Type in the Search activities box to show only activities whose title or details contain your keywords. Click Advanced Filters to narrow the Calendar further:

  • Type—Task, Meeting, or Call
  • Module—the record the activity is linked to: Lead, Contact, Company, Deal, or Product
  • Status—Pending or Completed
  • Priority — Low, Medium, or High

A badge on the filter button shows how many filters are active. Click Clear all Filters to reset them.

Step 4: Create an activity from the calendar.

Click New Activity and choose Task, Meeting, or Call. A create form opens with these fields:

  • Module — the type of record this activity belongs to, such as Contact or Deal
  • Entity — the specific record, searched by name once you pick a module
  • Title — the name shown on the Calendar
  • Due Date — the date and time that places the activity on the Calendar
  • Assigned To — the CRM user responsible; only activities assigned to you show on your calendar
  • Priority — Low, Medium, or High (tasks only)
  • Details — any extra notes

Click Create. The new activity appears on the Calendar right away.

Note: Clicking an empty day or hour slot only moves the selected date. It does not open a create form, so always start from New Activity.

Step 5: Open, edit, or reschedule an activity

Click any activity on the Calendar. Bit CRM takes you to the matching Tasks, Meetings, or Calls page with that activity opened, where you can edit its details, mark it completed, or delete it.

To reschedule an activity, change its Due Date there and save. The Calendar does not support dragging activities to a new day or time.

Going further

The Calendar reads the same activities you manage on the Tasks, Meetings, and Calls pages and on each record’s activity tabs, so anything you create there appears on the Calendar automatically. To see activities that belong to another user, open the Tasks, Meetings, or Calls page instead, where the lists are not limited to your own assignments.
