How to Create Custom Fields in Bit CRM

This guide shows you how to create custom fields in Bit CRM, so your leads, contacts, companies, deals, and products can store the information your business actually tracks alongside the fields that ship with the CRM.

What are custom fields in Bit CRM?

Every module in Bit CRM ships with a set of system-defined fields — things like Last Name, Email, and Owner. A custom field is one you define yourself, so you can capture details specific to your business, such as a contract number, a preferred contact method, or a service tier.

Once you create a custom field, it appears on that module’s create and update forms, on the record’s detail view, and as an option in the table columns, advanced filters, import mapping, and export field list.

Before you start

Creating and editing custom fields is a Bit CRM Pro feature. In the free plugin you can open the Add new custom field dialog, but it shows an upgrade notice instead of the field form.

Custom fields are available for five modules: Lead, Contact, Company, Deal, and Product. Each module keeps its own separate set of fields — a custom field added to Contacts does not appear on Leads. Invoices do not support custom fields.

You also need the settings capability for the module you want to change. If a module’s settings page is missing from your sidebar, ask an administrator to grant you access under Settings → CRM Users.

Steps

Step 1: Open the module’s Field Settings

Open Bit CRM, then go to More → Settings. In the settings sidebar, find the Entities group and choose the module you want to extend — Lead Settings, Contact Settings, Company Settings, Deal Settings, or Product Settings.

Each of these pages opens on the Field Settings tab, which lists every field in that module under the heading Fields.

Step 2: Add a new custom field

Click Add new custom field next to the Fields heading. A dialog of the same name opens, where you define the field:

  • Type — required; the kind of input this field uses (see the next step)
  • Label — required; the name your team sees on the form. Bit CRM generates the internal field key from this label automatically, so you never type a key yourself
  • Tooltip — optional help that appears when someone hovers the info icon beside the field
  • Help Text — optional text shown directly below the field on the form

Click Add to save. Bit CRM confirms with Custom field added successfully, and the new field appears at the bottom of the Fields list with a purple custom tag.

Note: Two fields in the same module cannot share a label that produces the same internal key. If one already exists, Bit CRM returns Field already exists! — choose a more distinct label.

Step 3: Choose the right field type

The Type dropdown offers nine options, and your choice decides which extra settings appear in the dialog:

  • Text — a single-line text box
  • Text Multi-Line — a larger box for notes and descriptions
  • Number — a numeric input; adds Minimum and Maximum settings to bound the value
  • Select — a dropdown where one option can be picked
  • Multi Select — a dropdown where several options can be picked
  • Radio — a set of buttons where one option can be picked
  • Checkbox — a set of boxes where several options can be ticked
  • Date — a date picker
  • Section (Divider) — not an input at all; a heading that groups the fields below it

For Select, Multi Select, Radio, and Checkbox, a Field value options section appears. Add one row per choice using New option, and fill in each row’s Label — Bit CRM fills the matching Value for you as you type. At least one option is required, or you’ll see Add at least one option.

Step 4: Set whether the field is required and how wide it is

These settings live on the field’s row in the Fields list, not in the Add dialog — so you set them after the field is created. On the row you’ll find:

  • Required — turn this on to make the field mandatory. Anyone saving the record without it sees a message naming the field, such as “Contract Number is required”
  • Disabled — turn this on to hide the field from the forms without deleting it or losing stored values
  • Select Width — choose Half Width or Full Width to control how much of the row the field occupies

Each switch saves as soon as you toggle it. Fields of type Section (Divider) have no such controls, because they display a heading rather than collect a value.

Step 5: Reorder fields and set the form layout

Drag a field by the grip handle at the left of its row to move it. The order you set here is the order the fields appear on the module’s create and update forms, and Bit CRM saves it automatically a moment after you drop the field.

Above the list, choose Single Column or Two Columns to control how the form arranges its fields. Combine this with each field’s width — in a two-column layout, a Full Width field spans both columns while a Half Width field takes one.

Step 6: Edit or delete a custom field

Click the pencil icon on a field’s row to open Edit Field. You can change the Label, the Tooltip, the Help Text, the Minimum and Maximum for number fields, and the list of options for choice fields. Click Update to save.

Note: A field’s Type cannot be changed after it is created. If you need a different type, create a new field and delete the old one.

To remove a field, click the trash icon on its row. Bit CRM asks Delete the field — Are you sure to delete this field? — and confirms with Field deleted successfully. Deleting a custom field also removes the values stored in it on every record in that module, so export the data first if you might need it. Only custom fields can be deleted; the system-defined fields can be disabled but not removed.

Step 7: Use the field on your records

Open the module and create or edit a record. Your custom field now appears on the form in the position and width you set, with its tooltip and help text in place.

The field is also available across the rest of the module:

  • Columns — add it to the list table from the Columns button above the table
  • Advanced Filters — filter records by its value
  • Import — map a CSV column to it under the Custom Fields group in Map to Field
  • Export — include it from the Custom Fields section of the export dialog

Going further

Use a Section (Divider) field to group related custom fields under a heading — it keeps long forms readable when you add more than a handful of fields.

If you are converting leads into contacts, companies, or deals, map your custom fields across in Lead Settings → Conversion Mapping, where they appear under the Custom Fields group. Without a mapping, values entered on the lead do not carry over to the converted record.
