Create Tags & Segmentation in Bit CRM: Organize and Group Your Records

Estimated reading: 6 minutes 29 views Reviewed By Onie

This guide shows you how to create tags in Bit CRM and use them to segment your leads, contacts, companies, deals, and products into groups you can filter, act on in bulk, and automate against.

How do tags work in Bit CRM?

A tag is a short label you attach to records like “Newsletter,” “VIP,” or “Trade Show 2026.” Once records are tagged, you can filter any list down to a tag, apply a bulk action to everyone in it, or trigger a workflow when a tag is added or removed.

Tags belong to a single module. A “VIP” tag created for Contacts is a separate tag from a “VIP” tag created for Leads, and it can only be attached to contacts. This is worth knowing before you start: if you want the same label available on both leads and contacts, create it once in each module.

Before you start

Tags are available in every edition of Bit CRM. Tags can be created for five modules — Lead, Contact, Company, Deal, and Product. Invoices do not support tags.

Two of those depend on Bit CRM Pro: Product appears in the module list but is locked in the free plugin, and the workflow triggers and actions that use tags are Pro features.

Creating, editing, and deleting tags each need their own permission. If a control described below is missing for you, ask an administrator to grant the matching tag capability under Settings → CRM Users.

Steps

Step 1: Open the Tags page

In the Bit CRM header, click More, then choose Tags. The page opens with the heading “Tags” and a table of every tag across all modules.

The table has four columns: Title, Module, Count (how many records currently carry the tag) and Actions. Click the Title heading to sort alphabetically.

Use “Filter With Modules” to show only one module’s tags and the Search box to find a tag by title.

Step 2: Create a tag

Click New Tag to open the Create New Tag dialog, then fill in both fields:

  • Title — required; the label your team sees
  • Module—required; which module the tag belongs to. In the free plugin, Product appears with a Pro badge and cannot be selected

Click Create to save.

Note: A title must be unique within its module. Reusing one returns Tag already exists for the module! — but the same title in a different module is fine, which is how you get a “VIP” tag on both Leads and Contacts.

Step 3: Tag a record from its detail page

Open any lead, contact, company, deal, or product. In the right-hand panel, find the Tags section and click the Attach tags box.

Pick a tag from the list to attach it, or click the × on a tag to remove it. Changes are saved the moment you make them — there is no separate save button.

Note: You can create a tag here without leaving the record. Type a name that does not exist yet and choose the Create Tag: option that appears. This needs the tag-create permission, and the new tag is added to that record’s module.

Step 4: Tag records in bulk

Go to a list page and tick the checkbox on each record you want to tag. A Bulk Actions button appears above the table showing how many rows you selected.

Click it and choose Add tags or Remove tags. A dialog titled Add Tag or Remove Tag opens with a Tags field where you select one or more existing tags. Confirm with Add or Remove.

Note: Select at least one tag or you’ll see Select at least one tag!. Unlike the record detail page, this dialog cannot create new tags — build them on the Tags page first.

You can also apply tags while creating a record: the create forms for leads, contacts, companies, deals, and products each have a Tags panel, and anything you choose there is attached when the record is saved.

Step 5: Segment a list with the tag filter

On any list page, click Filter With Tags above the table and select one or more tags. The list narrows to records carrying those tags.

Note: Selecting several tags returns records that have any of them, not all of them. Choosing “VIP” and “Newsletter” shows everyone in either group. To require both, filter by one tag and add a condition in Advanced Filters, or run the bulk action on each tag separately.

The tag filter combines with the search box and advanced filters, so you can narrow a segment further before acting on it. On the Deals module, the tag filter applies to the Kanban board too.

Step 6: Rename or delete a tag

On the Tags page, click the pencil icon on a tag’s row to open Update Tag, change the Title, and click Update. Renaming keeps the tag attached to every record that already carries it.

To delete one tag, click the trash icon on its row and confirm at Confirm Deletion. To delete several, tick their checkboxes and use the Delete Tags button, then confirm at Confirm Deletion.

Note: Deleting a tag detaches it from every record but does not delete the records themselves — your leads and contacts stay exactly as they were, minus that label. Tags are deleted permanently and do not go to the Recycle Bin, so a deleted tag has to be recreated and reapplied by hand.

Going further

With Bit CRM Pro, tags become automation triggers. A workflow can start when a tag is added to or removed from a record, and workflow actions can add or remove tags automatically — for example, tagging a contact “Hot” when a deal reaches a late stage.

Workflow triggers are also the one place where tag matching offers a choice between Match Any Tag and Match All Tags, so you can require a record to carry an entire set of tags before the automation runs.

Note: Tags are not included in CSV imports or exports. Plan to apply them in the CRM after an import, using the bulk actions in Step 4.
