How to Generate an Invoice in Bit CRM

Estimated reading: 2 minutes 81 views

This guide shows you how to create an invoice, add products to it, and send it to your client.

Before you start

  1. Set up your Invoice Settings first — your prefix and payment terms both feed directly into this screen.
  2. Complete your General Settings (business name, logo, and address) before sending an invoice to a client — these details appear directly on the invoice, so they should be set up correctly first.

Steps

1. Start a new invoice

Go to Invoices → Create Invoice.

2. Fill in the invoice header and select a deal

Fill in the invoice number; terms and date will be filled automatically. Then search for and select the Deal this invoice belongs to. Bit CRM automatically pulls in the contact’s details.

  • Invoice Number — pre-filled using your saved prefix
  • Invoice Date
  • Terms — select a saved payment term
  • Due Date — fills in automatically once you select a term

4. Add products

Click Add Line Item, then choose a product source:

  • Woo — products synced from your connected WooCommerce store, pulled in with their live pricing and tax
  • Local — products stored in your Bit CRM product catalog
  • Custom — a one-off line item you type in yourself, not tied to any stored product
Bit CRM Create Invoice page with the product line item's source dropdown open, highlighting the three product source options: Woo, Local, and Custom.

Note: Local means products/services that you stored in this Bit CRM; Woo means products that are stored in your WooCommerce; and custom means you can instantly create what you need.

You can mix all three sources on the same invoice — adjust price, quantity, discount, and tax rate per line as needed.

Selecting Local shows every product or service you’ve already created in the Products module of Bit CRM — pick one and its details fill in automatically.

Selecting Woo shows every product stored in your connected WooCommerce store, complete with price and tax — so you don’t need to type anything in manually.

Bit CRM calculates your Subtotal, Tax, Gross Discount, and Grand Total automatically as you add line items.

6. Create and send

Click Create & Preview. Your invoice opens in a clean, shareable layout.

From here you can:

  • Send — email the invoice to your client
  • Actions → Download — save a PDF copy
