How to Build a Workflow in Bit CRM: Auto-Tag and Follow Up on Key Contacts

Estimated reading: 3 minutes 36 views

This guide builds one practical workflow: automatically tag a contact and create a follow-up task whenever a contact from an important company is added. Along the way, you’ll learn the parts every Bit CRM workflow shares: trigger, condition, and action, so you can apply the same steps to any automation you build later.

Before you start

  • Know which module you’re automating (this example uses Contact).
  • Have the tag and task details ready that you want the workflow to apply.

Steps

1. Open Workflows

Go to More → Workflows.

2. Create a new workflow

Click + New, then fill in:

  • Name — e.g., “Auto-Tag Key Company Contacts”
  • Module — select Contact
  • Trigger — select Contact Created

Click Create.

The module can’t be changed after the workflow is created, so confirm it before continuing.

3. Open the workflow canvas

Your workflow opens with the trigger already placed. Click the + below it to add your first step.

4. Add an If Condition

From the panel, choose If Condition under Tools.

Set the condition to filter which contacts continue through the workflow:

  • Field: Company
  • Operator: Is
  • Value: the company you want to target

Click Apply. Only contacts matching this condition will continue to the next step — everyone else stops here.

5. Add your actions

Click + again and add:

  • Add Tags — choose a tag, e.g., “VIP Client”
  • Create Task — set a title (e.g., “Send welcome call”), an owner, and a due date

Add as many actions as you need, in order; each one runs after the last.

6. Add a “Create Task” action

Click + again, then choose Create Task under Actions. Fill in:

  • Task Title — e.g., “Send welcome call” or whatever you want
  • Due Date
  • Assigned To — the team member responsible
  • Priority — Low, Medium, or High
  • Details (optional)

Click Apply.

Your canvas now shows the full chain: Trigger → Condition → Action → Action → End — each step running only after the one before it completes.

7. Save and activate

Click Save, then switch the workflow to Active in the top right.

Bit CRM workflow canvas for "Automate Contact" showing the full flow — Contact Created trigger, If Condition, Add Tags, Create Task ("Send welcome call"), and END — with the workflow toggled Active and a Logs button.

From now on, every new contact from that company is automatically tagged and gets a follow-up task created — no manual work needed.

Monitor your workflow

Click Logs on the workflow page to see each time it ran, and whether it completed successfully.

Results

Here, you can see as this contact belongs to Bit Apps, so the “VIP Client” tag and

‘Tasks’ are added automatically.

Going further

Your workflow builder supports more tools and actions than used here, including:

  • If-Else Condition — branch into two separate paths instead of just filtering
  • Delay — pause before the next action runs
  • Remove Tags, Create Call, Create Meeting, Add Note, Send Email, Update Field, Trash Entity
  • Webhooks — send data to an external tool when the workflow runs
