SMTP Sends, IMAP Receives Both Are Supported by Bit CRM

A lot of people assume you need a complicated email setup before a CRM is useful. Not here. These two settings do completely different jobs and you can turn them on independently, in whatever order suits you.

SMTP

Set it up and send emails from any record immediately
To Send
SMTP is what lets Bit CRM send email on your behalf. Connect it once, and the Compose button inside every Lead, Contact, Deal, and Company profile goes live.
  • Send emails from any record profile instantly
  • Emails go out from your own address and domain
  • Every sent email is logged in the record with a "sent" status
  • Works completely on its own — no IMAP required

IMAP

Add this when you want replies pulled in too
To Receive
IMAP is what lets Bit CRM pull your emails in. Connect your mailbox once, and incoming messages get fetched so your conversation history shows up right on the record.
  • Connect your mailbox using IMAP settings
  • Connect Gmail, Zoho, or any other mailbox to pull all email conversation
  • Users can keep a mailbox private
  • Turn it on anytime — it works on its own
To be clear: you do not need IMAP to send emails through Bit CRM. With SMTP alone, you can compose and send from any record right away, and every email you send is logged in that record. IMAP is purely about the other direction — bringing received replies into the profile so the conversation reads as one thread instead of half a story.

Why teams switch to Bit CRM

Every Team Member Can Connects Their Own Inbox

Sales teams don't share one email address, and Bit CRM doesn't pretend they do. Each CRM user can add their own IMAP connection with a title they'll recognize. Inside the Emails tab, pick an account from the dropdown and Bit CRM pulls the emails tied to that account for the record you're viewing.

Connect Gmail, Zoho Mail, or Any Provider

When you add an IMAP connection, give it a title, pick your platform, and enter your app password. Gmail and Zoho Mail are ready to go out of the box, and the "Other" option covers any standard IMAP provider you use.

Once connected, the account appears in the dropdown inside every record's Emails tab. Select it, hit Sync Imap Emails, and the received emails for that record are pulled in

FAQ

Frequently Asked Questions

Common questions about Bit CRM, Email and IMAP

Yes. Once SMTP is set up, you can hit Compose inside any Lead, Contact, Deal, or Company and send an email right from that record. No need to switch to your inbox.

You can. Bit CRM keeps an Emails tab inside every record, so you see the full conversation with that person right there, nothing else mixed in.

Bit CRM works with Gmail, Zoho Mail, Outlook, and any standard email provider. So you can connect the mailbox you already use.

Yes. Every IMAP connection has a Private option. When it's on, that connection stays limited so other CRM users can't use it to fetch emails — so your mailbox stays yours.

In IMAP Settings inside Bit CRM, add a connection, give it a title, pick your provider (Gmail, Zoho, or Other), and enter your app password. After that, Bit CRM can fetch your emails into your records. We have documentation on it; you can check it out.

Once IMAP is connected, pick your account in the Emails tab and hit Sync. Your received messages for that record get pulled in, completing the full two-way conversation.

No. Sending works through SMTP on its own. IMAP isn't needed for that. You only add IMAP when you also want to pull in the replies you receive.

You can. Bit CRM lets you add and manage multiple IMAP connections, so you're not limited to a single account.

Yes. Since Bit CRM works only in your WordPress admin area, it doesn't interfere with how your site looks or loads. That means it works smoothly with Elementor, Divi, Gutenberg, Bricks, and any theme you're using — without conflicting with your other plugins.
